Project purpose

Create a professionally edited, emotionally engaging video celebrating the celebrant’s life, relationships, memories and 50th birthday.

Friends and family will contribute photographs and recorded messages through a submission portal provided by Nex Gen Visuals.

The finished video should feel personal, polished and thoughtfully produced, combining meaningful storytelling with high-quality editing.

2

Premium scope

The agreed production includes:

Included in the £200 commission

  • A working submission portal.
  • Up to 40 contributed video messages.
  • Photographs supplied by friends, family and the client.
  • A finished celebration video of up to 10 minutes.
  • An agreed visual style or theme.
  • Advanced editing, tasteful animation and effects.
  • Integration of the personalised AI song supplied by the client.
  • Client review and the correction window described below.
  • Final downloadable video delivery.

A note on the fee

The £118 shown on the reference artwork is a package reference, not the agreed freelancer payment. The freelancer fee for this commissioned project is £200. Nex Gen Visuals is not required to compose the AI song.

Confirm at appointment

Confirm the photograph allowance, upload limits and expected final duration with LHV at appointment. Do not impose undisclosed limits after contributors have been invited.
3

Submission portal

The portal must be live, tested and ready to share by Monday 9 November 2026 at 12 noon, UK time. Submissions remain open until Monday 30 November 2026 at 12 noon, UK time — a minimum of three full weeks for uploads.

Contributors must be able to

  • Read a clear introduction and instructions.
  • Enter their name and relationship to the celebrant.
  • Upload videos and photographs.
  • Add optional captions, dates or background information.
  • See the submission deadline.
  • Receive a clear confirmation after a successful upload.

Organiser view must show

  • Contributor names.
  • Files received.
  • Submission dates.
  • Upload problems.
  • Missing information.
  • Download access for production.

Guidance to include

  • Recording in a quiet place with good lighting.
  • Keeping messages approximately 10–20 seconds where possible.
  • Speaking clearly.
  • Uploading original files rather than compressed screenshots or recordings.
  • Avoiding background music that makes speech difficult to hear.

Messages may be shortened

Explain that messages may be shortened to fit the finished video. Up to 40 submissions does not mean that every message can appear in full within 10 minutes.

Privacy and testing

Contributors must not be able to browse other people’s submissions. Keep the project private and suitable for a surprise celebration. Test the complete upload process on a phone and computer before sharing the link — a page that looks finished but cannot reliably receive files does not meet the milestone. If the portal cannot be ready on 9 November, notify LHV immediately; any revised schedule must preserve three full weeks for contributions and be agreed before invitations are sent.
4

Creative direction

Agree the theme with the client through LHV before substantial editing.

Suggested structure

  1. 1A strong personalised birthday opening.
  2. 2Early memories and important life moments.
  3. 3Family, friendships, achievements and personality.
  4. 4Selected messages from loved ones.
  5. 5An emotional closing birthday tribute.

Accuracy

Use the client’s information to tell the story accurately. Do not invent life events, relationships or achievements.

The editing should include

  • Thoughtful selection and sequencing.
  • Clean cuts and purposeful transitions.
  • Consistent titles and typography.
  • Appropriate colour and exposure correction.
  • Improved speech clarity where possible.
  • Balanced music and voice levels.
  • Photo movement and animation where useful.
  • Accurate names and captions.
  • A coherent ending.

AI and animation

AI and animated features may be used where they improve the result. Preserve the authenticity of people and memories. Obtain specific approval before animating a real person’s likeness or creating synthetic speech. Avoid excessive effects that distract from the tribute.
5

Personalised AI song

The client will supply the finished song. Request it by 23 November, with final delivery no later than 30 November. Flag any missing or unsuitable audio promptly.

Nex Gen Visuals must

  • Request the audio file during onboarding.
  • Confirm its length and quality.
  • Agree how it fits into the edit.
  • Balance it beneath spoken messages.
  • Use it prominently where appropriate without obscuring speech.
6
